Some organizations want to run a gift exchange without their participants needing to signup or submit gifts. We think this is great! We have two features to help facilitate this:
Note: The features described below are available only on Standard games.
Manage Participants' Gifts
If you'd like to submit or manage your participants gifts, follow these steps. Note: if you haven't added participants yet, see section below.
- Navigate to the Edit Game Settings popup from your game screen
- Click on the Manage Participants tab
- Select the first checkbox, allowing you to submit gifts on behalf of participants, and click 'Save'
-
From the game screen, go to the Gift Table and click "Manage Gifts"
- From the dropdown at the top of the pop-up window, select the participant whose gift you would like to submit/manage
- Proceed with submitting a gift (detailed instructions available here)
- Choose the gift wrapping and save the gift
- Repeat for any remaining participants. You can also come back to this screen to edit the gifts at any time.
Creating "Dummy Players" on behalf of your participants
If you want participants to just show up on the day of the event, and not login to White Elephant Online, you can create "Dummy Players". Here's how:
-
-
Create dummy players: dummy players allow you to add participants to your game but are not associated with an email address or an account. This means that your participants will not have access to the system and will not be able to login on their own. If you set up dummy players, you must also submit gifts on behalf of the participants and handle the distribution (Gift Distribution Option #5 or #6). If you want participants to be able to login to White Elephant Online for any reason, have them setup an account, and you can still submit gifts on their behalf (instructions at top of article).
- On the Manage Event tab, click "Use Dummy Players". This will bring you to the Manage Participants tab in the Game Settings popup.
- If not already enabled, click the first checkbox, allowing you to submit gifts on behalf of participants
- Select the second checkbox to add dummy players to your game; if this checkbox is not enabled, please check your Gift Distribution Options as this option is only available if you choose "Game Organizer Handles Distribution" (option #5 or #6)
- In the Dummy players text box, type the name of your participant and hit enter
- Continue until you have added all of your participants. If you want to delete someone, just click the "X" next to their name.
- To Bulk Add Names: You can also paste in a comma-separate list of names, and click enter, and it will add the names.
- When you are finished, make sure to click Save Game in the top right hand corner; you will now see your dummy players listed as attendees on the righthand side of your screen
- To Submit Gifts on behalf of these participants, see instructions above.
- On the Manage Event tab, click "Use Dummy Players". This will bring you to the Manage Participants tab in the Game Settings popup.
